Executive Director (ED) Job Description
This is current as of February 11, 2008. I am hopeful that as the new Board is developed, and begin their responsibilities
in June, that some of these things will once again become the role of the Board.
ED supervisors, and duties completed by the Gallery Assistant. ED also supervises a high school student who is
interning for one hour daily.
ED is responsible for completing the responsibilities of any and all vacant Board positions. At the moment, this includes
Show, Membership, Fund-raising and Hospitality Chairs.
Coordination of all SAL exhibits including: Gallery Shows and the Slidell Museum. Gallery shows include developing and
printing the prospectus, show programs, invitations and publicity matters. ED recruits the judges for all shows as well as
the judging criteria. The Slidell Museum includes designing and printing the invitation, as well as the publicity most
months. In the absence of a hospitality chair, the ED is responsible for this as well.
Scheduling of SAL workshop/class schedule and publicity. ED usually attends the Saturday workshops to handle
payments, and registration of the participants.
Saturday Gallery hours are currently manned by the ED. The Gallery Assistant does cover one Saturday a month if
possible.
Fund-raising:
o ED writes, manages and completes all final grant reports. The ED is also responsible for the coordination and
completion of the grant project.
o ED writes all corporate fund-raising letters.
o ED is a member of the National Society of Fund-raising Executives and attends monthly meetings.
o ED attends grant writing workshops as required by different granting authorities.
Networking:
o ED attends the Chamber “after hours” events, as well as the breakfasts and lunches when appropriate as a way to
network.
o ED attends and participants in the Olde Towne Revitalization Committee
Financial:
o ED is responsible for deposits, paying bills and creating financial reports for the Board Treasurer.
o ED prepares monthly St. Tammany Parish sales tax reports and quarterly State sales tax reports.
o ED is responsible for the yearly tax returns.
o ED is responsible for establishing yearly budgets to be approved by the Board.
o ED is responsible for arranging a timely audit with an outside source. (In process)
Timesheets/payroll:
o Salary expenses and taxes have been “out-sourced” to Paychex, but ED is the responsible for tracking hours
weekly, and reporting to Paychex.
Publicity:
o ED is responsible for e-mailing all press releases and photographs to the appropriate venues. At a minimum, the
ED proofs and edits the publicity chairs’ press releases. Most of the time, the ED writes them as well.
o ED is responsible for collecting press clipping from the Times-Picayune and The St. Tammany News Newspaper.
Currently, there is about 6 months of newspapers that need to be gone through. The intern is making slow progress on
this.
Membership:
o ED is responsible for sending out monthly “what’s happening” letters to members without email, and e-mailing it to
everyone else.
o ED confirms that monthly membership renewals are sent out by the Gallery Assistant.
o ED e-mails out “Calls to Artists,” as well as any information that the membership might be interested in.
SAL Library:
o ED is responsible for the organization of the SAL library (with a lot of help with the intern).
ED originally designed SAL’s web site which is currently being maintained by a part-time employee. ED provides all
information to this person.
